1. Who we are

AberIrvine Media ("AberIrvine", "we", "us", "our") is the data controller for personal data collected through aberirvine.com. We are based in the United Kingdom and operate under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What we collect

When you contact us via the website's enquiry form, we collect:

  • Your name and email address
  • Your organisation (if you choose to provide it)
  • Event date, location, and the details you share in your message
  • The IP address the submission was made from, used for spam and abuse prevention

When you simply browse the website, our hosting and CDN (Cloudflare) processes standard request metadata: IP address, browser user-agent, referrer, and the URLs you accessed. This is used solely to operate the site and protect it against attack.

3. How we use your information

We use your information to:

  • Respond to your enquiry and prepare a proposal
  • Communicate with you about a proposed or active production engagement
  • Maintain reasonable records for accounting and tax compliance
  • Protect the website from spam and abuse

We do not sell your data. We do not share it with marketing networks or advertising platforms. We do not use it for automated decisions that produce legal effects.

4. Lawful bases for processing

We rely on the following lawful bases under UK GDPR Article 6:

  • Legitimate interests: responding to a business enquiry you have initiated, protecting the website from abuse, and maintaining a record of communications
  • Performance of a contract: delivering Services you have engaged us for, including pre-production communications
  • Legal obligation: retaining accounting records as required by UK tax legislation

5. Sub-processors

We use the following sub-processors to operate the website and deliver our Services:

  • Cloudflare, Inc. - CDN, DNS, and edge security. Processes request metadata at the edge to protect the site.
  • Resend Inc. - transactional email delivery. Enquiry form submissions are sent through Resend to deliver them reliably to our inbox. Resend processes the contents of the email (name, email address, organisation, event details).
  • Google LLC (Google Workspace) - email hosting for hello@aberirvine.com. Stores correspondence we exchange with you.

Where any of these providers is located outside the UK / EEA, we rely on the UK International Data Transfer Addendum (IDTA) and / or EU Standard Contractual Clauses, together with the provider's own appropriate safeguards, to protect your data.

6. How long we keep your data

We retain enquiry correspondence for as long as it is relevant to a proposed or active engagement, and afterwards for up to six years after the last meaningful contact, to satisfy UK commercial and accounting record-keeping obligations. Server access logs are retained by Cloudflare for a short period (typically up to 30 days) for security purposes.

7. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Have inaccurate data corrected
  • Have your data erased where there is no overriding lawful reason for us to keep it
  • Object to or restrict our processing
  • Receive a copy of your data in a portable format
  • Withdraw consent at any time (where consent is the lawful basis)
  • Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk

8. Cookies & tracking

We do not use advertising or analytics cookies. We do not run third-party trackers, fingerprinting, or session replay. The site only relies on Cloudflare's standard strictly-necessary security cookies (where applicable) to protect against abuse.

9. Security

We protect personal data with reasonable technical and organisational measures: TLS for all traffic, restricted-access mailbox, rate limiting on the enquiry form, IP-based abuse protection, and principle-of-least-privilege access for any tooling that handles enquiry data.

10. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top reflects the latest version. Material changes will be announced via the website.
